- I am an ICF full member, do I have a discount at the ICC?
ICF members who are current at the time of registration receive the lowest discounted rate available. Information on becoming an ICF member (as an individual or as a camp representative) is available here
- What does the congress fee include?
Full Congress fee includes discounted rates at the Congress Hotel (including breakfast and supper most days), full Congress program access, Congress lunch each day, off-site excursions (on Friday)
- What is the cancellation policy?
Cancellation policy for HOTEL PORTAVENTURA rooms:
Cancellation until July 25th: 40% penalty
Cancellation from July 26th to September 15th: 50% penalty
Cancellation from September 16th to September 26th: 75% penalty
Cancellation from September 27th: 100% penalty
Cancellation policy for the Congress fee and Gala dinner:
Cancellation until August 31 2023: 50% penalty
Cancellation from September 1 2023 to September 20, 2023: 70% penalty
Cancellation from October 1, 2023: 100% penalty
No-shows are not refundable. PHONE CANCELLATIONS ARE NOT ACCEPTED. Written copy of the cancellation is required and can be emailed.
- Which is the closest airport to the congress venue?
Overseas and International delegates may plan to arrive through Barcelona (BCN). El Prat de Llobregat Aeropuerto. Another option for some European delegates is the international Reus (REU)
- How do I get from the airport to the Congress venue?
From the Barcelona airport there are convenient transfers directly to PortAventura Hotel and the Congress venue. Travel time is approximately one hour. More information will be sent to international delegates arriving by air and Congress greeters are available to assist on October 3, 4.
From Reus, shuttles and taxi service can be arranged.
- Is there wifi service in the Congress venue?
Yes, complimentary wifi is available to all hotel guests and Congress delegates.
- Are meals included in the Congress fee?
Lunch is part of the daily and full Congress fee package. Breakfast and Supper meals are included as part of the special discounted fee for Congress delegates staying at PortAventura hotel.
- Do I need to book a hotel separately? What options do I have at hotels?
The hotel booking option must be made separately from Congress registration. To make the most out of your stay we recommend The Hotel PortAventura which has a special Congress rate and it gives you the opportunity to do networking during meal times and in the evenings as it is only 3 minutes from the Convention Center. Other hotel options are located away from the Congress venue and are the responsibility of the delegate.
Note: The success of the ICC depends on registrants staying at the contracted host hotel to offset the sizable costs of producing the conference.
ICF cannot meet contracted room obligations if registrants reserve rooms in other area hotels. The risk of incurring tens of thousands of euros in financial penalties increases with each registrant who stays outside the host hotel. If we do not meet our guarantee, we will have to pay penalties, which add to the costs of the conference and in turn increase registration fees.
Sustaining a financially successful conference for ICF means ensuring that conference registrants have a quality, meaningful event that will reap benefits for you and the profession for years to come.

- When is the deadline for presenters?
The Call for Presenters closes on February 28, 2023. Submissions may be made here.
- How can I volunteer?
Volunteers are an important part of the success of any ICF event. Volunteers are welcome to submit their interest here.
ICDC (International Camp Director Course)
- Is the ICDC included in the Congress fee?
The ICDC is a separate ICF training event that takes place at a venue associated with the Congress itself. Delegates of the ICDC are welcome to continue their learning enrichment by staying on to participate in the Congress itself.
- Who can participate in the ICDC?
The ICDC is designed to serve camp managers, directors and operators with a strong program combining solid professional development and education while networking with other camp professionals. For more information and registration links, go here.
- What is the Research Forum?
A special ICF Research Forum Panel welcomes academic papers, posters and presentations for inclusion in the Congress program. While contribution to the Congress Research Forum is arranged separately from the Call for Presenters, these sessions are available to all Congress delegates and provide valuable insights between current research in the field and practical development of effective camps.
- Is there a call for presenters at the Research Forum?

- How do I participate in the Pre and Post Tours?
Enrich your experience in Spain with exciting tours during the pre-and post-Congress time. Professional escorted tour packages are available. All tours are arranged by Viajes Berga (email: yolanda@viatgesberga.com) with a multi-year reputation for high quality touristic support in a country known for its tourism.

Bookings for the tours are made directly through the tour agency and fees are not included in your Congress fee. The tours will take place only if an adequate number of participants register for them.
